Spanning two sites in Karlovy Vary and Cheb, the Karlovy Vary Regional Hospital has around 673 beds. More than 1500 health professionals and key workers provide essential acute inpatient and outpatient services covering specialized fields.
Every day, these operations generate hundreds of paper records with varying degrees of confidentiality. Previously, files were distributed across different buildings, resulting in limited access and document retrieval time delays.
Thanks to Iron Mountain, we are able to respond more flexibly and significantly faster to client requests to retrieve medical documents required for control, audit, lawsuits, and other purposes.
Rapid migration
After initially helping the hospital carefully prioritize its document transfer needs, Iron Mountain® arranged for file collection, sorting, packaging, transportation, and storage at its own highly secure offsite facility.
In total, the archive contents spanned over 4,500 meters of shelving. To save time and maximize efficiency, several teams worked in parallel on the project over a two-month period, transitioning records to a central repository. Each document was tagged, logged, and made available for recall via the Iron Mountain Connect™ portal.
Greater operational efficiency
Karlovy Vary Regional Hospital was able to successfully meet its priority to quickly free up space in buildings that were awaiting complete reconstruction. In addition, other storage areas have been reallocated more effectively for provision of patient services.
Importantly, all medical records are now correctly categorized, registered, and safely stored in one place. Iron Mountain specialists process around 70 to 80 meters of new documents each month, ensuring ongoing governance and compliance.
